Using Filters and Sorting in Visualizations
Filters and sorting allow users to focus on relevant information and compare values in a meaningful order.
Sorting Visuals
Power BI allows many visuals to be sorted by category or measure.
For example, you can sort a bar chart by total sales in descending order to identify the highest-performing product categories.
To sort a visual:
- Select the visual.
- Open its additional options menu.
- Choose the appropriate sort field.
- Select ascending or descending order.
Available options depend on the visual type and its fields.
Filters in Power BI
Power BI provides several filtering options.
Visual-level filters: Apply to an individual visual.
Page-level filters: Apply to visuals on a particular report page.
Report-level filters: Apply across the report.
For example, a page-level filter can restrict a sales analysis page to 2026, while a visual-level filter can show only the Electronics category in one chart.
Slicers
A slicer is an interactive visual that allows report users to filter data directly.
Common slicer fields include:
- Date.
- Product category.
- Region.
- Customer segment.
To create a slicer, add a Slicer visual and drag the required field into it.
For example, adding Category to a slicer allows users to select Electronics or Furniture and view the corresponding results in connected visuals.
Sorting Categories Correctly
Text values may be sorted alphabetically by default. This can create problems when displaying months.
For example, alphabetical sorting produces a sequence such as April, August, December, and February rather than the calendar order.
To fix this, use a numeric month column and configure the month-name column to Sort by column using that numeric field.
This keeps month labels in the correct chronological order.
