Managing and Troubleshooting Data Connections

A reliable Power BI report depends on stable connections and correctly configured data sources.

Managing Data Source Settings

Power BI Desktop provides data source settings that help you manage connection details and credentials.

Depending on the connector, you may be able to review or update:

  • Data source locations.
  • Authentication methods and permissions.
  • Privacy-level settings.
  • Stored credentials.
  • Connection-related configuration.

If a file is moved to another folder or a database server changes, you may need to update the connection details before refreshing the report.

Common Connection Problems

1. Incorrect file path

Power BI cannot locate an Excel or CSV file because it has been moved, renamed, or deleted.

Solution: Verify the file location and update the source path.

2. Authentication failure

The credentials are incorrect, expired, or lack the required permissions.

Solution: Confirm the authentication method and verify that the account has access to the source.

3. Network or server connectivity issues

Power BI cannot reach a database because of network restrictions, firewall rules, server availability, or an incorrect server name.

Solution: Check the connection details, network access, and server status.

4. Incorrect data types

A numeric column may be interpreted as text, or dates may be read using an unexpected regional format.

Solution: Inspect the column types in Power Query and apply the correct format.

5. Missing database drivers or dependencies

Some connectors may require additional drivers or compatible software components.

Solution: Follow the connector's official setup instructions and verify that the required components are installed.

Data Refresh Considerations

When using Import mode, changes in the original source are reflected in the model only after a successful refresh.

In Power BI Service, refresh configuration may require valid credentials, supported connectivity, and a gateway for certain on-premises sources.

DirectQuery behaves differently because report interactions query the source, although caching and other settings can affect freshness.

Understanding these differences helps you diagnose why a report may display outdated data or fail to refresh.
