How Power BI Works
Power BI follows a workflow that transforms source data into useful insights.
Step 1: Connect to Data
First, connect Power BI to the required data source. This could be an Excel workbook, a CSV file, a database, or another supported service.
For example, a retail company may connect to a file containing product names, sales quantities, transaction dates, and sales amounts.
Step 2: Transform the Data
Raw data often contains missing values, inconsistent formats, duplicate records, or unnecessary columns.
Power Query helps clean and organize the data before analysis.
Typical operations include:
- Removing duplicate records.
- Correcting data types.
- Filtering unnecessary rows.
- Renaming columns.
- Combining data from multiple sources.
Step 3: Build a Data Model
Once the data is prepared, organize the tables and define relationships where needed.
For example, a sales table can be connected to a product table through a product identifier. This allows users to analyze sales by product category without repeating product descriptions in every transaction row.
Step 4: Create Calculations
Use DAX to calculate business metrics such as total sales, average order value, profit, or year-to-date revenue.
A simple example is:
Total Quantity = SUM(Sales[Quantity])
This measure calculates the sum of the values in the Quantity column of the Sales table.
Step 5: Build the Report
Select appropriate visuals and arrange them to answer specific business questions.
For example, a report could display total sales in a card, monthly sales in a line chart, and category performance in a bar chart.
Step 6: Publish and Share
When the report is ready, publish it to Power BI Service when appropriate. Configure access and sharing permissions so that the intended audience can use it.
If the report depends on external or regularly changing data, configure the relevant refresh method and credentials.
The complete workflow can be represented as:
Data Sources → Data Preparation → Data Modeling → DAX Calculations → Visual Reports → Sharing and Monitoring
This process forms the foundation of most Power BI projects.
