Managing Workspace Roles and Permissions

Managing Workspace Roles and Permissions

What Are Power BI Workspace Roles?

A workspace is a collaborative environment where authorized users can develop, manage, and distribute Power BI content.

Workspace roles determine the actions users can perform within that environment. Power BI commonly provides the following roles:

Workspace role

General purpose

AdminManages the workspace, its access, and its content
MemberCollaborates on and manages workspace content within assigned permissions
ContributorCreates and modifies supported workspace content
ViewerViews permitted workspace content without general editing privileges

The exact capabilities available to users can depend on the content type, permission settings, licensing, and current Power BI configuration.

Choosing the Right Workspace Role

Different users require different levels of access.

For example:

  • A Power BI administrator may require the Admin role.
  • A report development lead may need Member permissions.
  • A report developer may work with the Contributor role.
  • A business manager who only reviews reports may need Viewer access.

Always assign roles according to job responsibilities instead of giving every user the highest available permission.

How to Manage Workspace Access

A typical process for managing workspace access is:

  1. Open Power BI Service.
  2. Navigate to the relevant workspace.
  3. Open the workspace access or permissions settings.
  4. Add the appropriate organizational users or groups.
  5. Assign suitable workspace roles.
  6. Review the assigned permissions.
  7. Remove access when it is no longer required.

The names and locations of settings may vary as the Power BI interface evolves.

Workspace Permissions vs. Report Sharing

Workspace access and report sharing are related but different.

Workspace roles control a user's broader access within a workspace. Report sharing can provide access to specific content, subject to the permissions and restrictions configured for that content.

A user may also receive access through a Power BI app or semantic model permissions.

For this reason, administrators should review the full permission path rather than checking only the workspace member list.

Best Practices for Permission Management

  • Assign permissions to appropriate organizational groups when practical.
  • Follow the principle of least privilege.
  • Review access periodically.
  • Remove permissions when employees change roles or leave the organization.
  • Avoid granting broad access simply to resolve a temporary problem.
  • Test report access using an account with the intended permissions.

Careful permission management helps maintain a secure and organized Power BI environment.
