Using Bookmarks and Buttons

Bookmarks and buttons help create guided navigation and alternative report views.

What Are Bookmarks?

A bookmark captures a particular report state. Depending on its configuration, this can include filter selections, slicer states, visual visibility, and the current page view.

Bookmarks can be used to create:

  • Navigation between report sections.
  • Alternative views of the same report page.
  • Show-and-hide panels.
  • Guided report presentations.
  • A return to a predefined report state.

For example, a report might contain a bookmark that displays an overview and another that displays a detailed analysis panel.

Creating a Bookmark

To create a bookmark in Power BI Desktop:

  1. Configure the report page in the state you want to save.
  2. Open the View menu and enable the Bookmarks pane if necessary.
  3. Select Add in the Bookmarks pane.
  4. Give the bookmark a descriptive name, such as Sales Overview.
  5. Configure its settings as required.
  6. Update the bookmark after making changes to the report state.

Bookmark options can control which aspects of the report are captured. Review these settings so that the bookmark preserves the intended state.

Adding Buttons

Buttons provide clickable controls for navigation and report actions.

To add a button:

  1. Open the Insert menu.
  2. Choose a suitable button type.
  3. Configure its text, icon, and appearance.
  4. Enable the button's action.
  5. Select an appropriate action, such as navigating to a report page or activating a bookmark.
  6. Test the button in the report's reading or viewing experience.

For example, an Overview button can activate a bookmark that displays the main summary, while a Details button can show a detailed view.

Designing Clear Navigation

Use meaningful button labels such as View Details, Back to Overview, or Reset View.

Avoid adding too many buttons because excessive controls can make a report confusing. Navigation should help users understand where they are and how to access the information they need.
