Connecting Power BI to Excel and CSV Files

Connecting Power BI to Excel and CSV Files

Excel and CSV files are convenient starting points for beginners because they do not require a database server.

Connecting to an Excel Workbook

Suppose you have an Excel workbook named SalesData.xlsx containing the following information:

OrderID

Product

Region

SalesAmount

1001LaptopNorth55000
1002MonitorSouth18000
1003KeyboardNorth2500
1004LaptopWest52000

You want to analyze sales by product and region.

Follow these steps:

  1. Open Power BI Desktop.
  2. Select Home → Get data → Excel workbook.
  3. Browse to SalesData.xlsx and select it.
  4. In the Navigator window, select the relevant worksheet or Excel table.
  5. Choose Load to import the data, or Transform Data to inspect and modify it before loading.
  6. Confirm that the selected table appears in your Power BI model.

If your workbook contains multiple sheets or tables, choose only the information required for your report.

Connecting to a CSV File

CSV files are useful when data is exported from another application or database.

For example, a file named MonthlySales.csv might contain:

OrderID,Product,Region,SalesAmount

1001,Laptop,North,55000

1002,Monitor,South,18000

1003,Keyboard,North,2500

1004,Laptop,West,52000

To connect to this file:

  1. Select Home → Get data → Text/CSV.
  2. Browse to the CSV file.
  3. Review the preview to check the column names and data layout.
  4. Verify that Power BI has detected the correct delimiter and data types.
  5. Select Load or Transform Data, depending on whether the data needs preparation.

Load vs. Transform Data

Load imports the selected data into the Power BI model using the current import settings.

Transform Data opens Power Query Editor, where you can clean the data before loading it.

For example, if the CSV file contains empty rows or inconsistent column formats, use Power Query to correct these issues first.

Preparing data before loading it can reduce errors and make later analysis easier.
