Understanding Power BI Gateways

What Is a Data Gateway?

A data gateway enables the Power BI Service to securely access supported data sources that are not directly reachable from the cloud service.

For example, a company may store its sales database on a server inside its office network. Power BI Service cannot necessarily connect directly to that private server. A configured gateway can provide the required connection.

A gateway acts as a bridge between the supported data source and Power BI's cloud services.

When Is a Gateway Required?

A gateway may be needed when:

  • A database is hosted on a private company network.
  • A source is available only within an internal environment.
  • An on-premises source must be refreshed by the Power BI Service.
  • A supported source or connection configuration requires gateway access.

Not every Power BI data source requires a gateway. Cloud sources that Power BI can reach directly may use cloud connections and credentials instead.

Types of Gateways

Power BI has supported gateway deployment options, including:

On-premises data gateway in standard mode

This is commonly used for organizational deployments. It supports shared gateway management and can serve multiple users and supported workloads.

On-premises data gateway in personal mode

This is designed for individual use with more limited management and sharing capabilities. It is not the preferred choice for most centrally managed enterprise environments.

Microsoft's gateway options and capabilities can evolve, so confirm the current deployment guidance before selecting a mode.

How a Gateway Works

Consider a sales database hosted on an internal server.

  1. An administrator installs the gateway on an appropriate machine.
  2. The gateway is configured and registered with the relevant Power BI environment.
  3. An authorized administrator or user configures the data source connection.
  4. Credentials and connection settings are validated.
  5. Power BI Service initiates a supported refresh operation.
  6. The gateway facilitates communication with the internal data source.
  7. The refreshed data becomes available to reports after the operation completes.

The gateway machine must remain available and able to reach the data source. Network rules, firewall settings, drivers, and credentials must also be configured correctly.

Installing and Configuring a Gateway

A typical setup involves:

  1. Downloading the supported gateway installer from Microsoft.
  2. Installing it on a suitable machine.
  3. Signing in with an appropriate organizational account.
  4. Registering the gateway.
  5. Configuring the required data source connection.
  6. Entering and validating the required credentials.
  7. Mapping the semantic model to the appropriate gateway connection.
  8. Testing the connection and refresh.

For production systems, gateway installation and administration should follow organizational security, availability, and maintenance policies.
