Exploring Power Query Editor

Exploring Power Query Editor

What Is Power Query Editor?

Power Query Editor is the environment in Power BI Desktop where you prepare and transform data before loading it into the data model.

You can use it to inspect tables, change column types, filter records, remove unwanted data, and combine datasets.

How to Open Power Query Editor

Follow these steps:

  1. Open Power BI Desktop.
  2. Connect to a data source, such as an Excel workbook or CSV file.
  3. Select the required table or worksheet in the Navigator window.
  4. Choose Transform Data instead of loading the data immediately.
  5. Power Query Editor will open with a preview of the selected data.

If your data is already loaded, select Home → Transform data to reopen the editor.

Understanding the Main Areas

1. Queries pane

The Queries pane appears on the left and lists the queries available in the current Power Query project.

Each query represents a data retrieval and transformation process. You can select a query to inspect its data preview and transformation steps.

For example, a sales project may contain separate queries for Sales, Products, Customers, and Calendar data.

2. Data preview area

The central area displays a preview of the selected query.

You can inspect column names, sample values, data types, and the general structure of the dataset.

For example, you might notice that a SalesAmount column contains text values instead of numbers.

3. Query Settings pane

The Query Settings pane contains the query name and the Applied Steps list.

Applied Steps records the transformations performed on the query, such as removing columns, filtering rows, and changing data types.

You can select an earlier step to inspect the result at that point in the process. Editing or deleting a step may affect later steps, so review the results after making changes.

4. Ribbon

The ribbon contains commands for importing, transforming, adding columns, combining queries, and managing other aspects of data preparation.

The available commands may vary depending on the selected column, data source, and Power BI version.

Understanding Applied Steps

Power Query records transformations as individual steps instead of requiring you to repeat every action manually.

For example, a query might contain these steps:

  1. Source - connects to the original file.
  2. Navigation - selects the required worksheet or table.
  3. Promoted Headers - uses the first row as column headers.
  4. Changed Type - assigns appropriate data types.
  5. Removed Columns - deletes unnecessary columns.
  6. Filtered Rows - excludes unwanted records.

When the query refreshes, Power Query attempts to execute these steps in sequence.

This makes data preparation more repeatable and easier to maintain.

Load vs. Transform Data

When connecting to a data source, Power BI may provide two important options.

  • Load: Loads the selected data into the model using the current connection and transformation settings.
  • Transform Data: Opens Power Query Editor so you can inspect and prepare the data before loading it.

For beginners, choosing Transform Data is often helpful when the source contains inconsistent values or unnecessary information.
