Publishing a Report from Power BI Desktop
Step 1: Prepare the Report
Before publishing, open your .pbix file in Power BI Desktop and check the following:
- Verify that the data is correct.
- Confirm that relationships and measures work as expected.
- Review report page names and visual titles.
- Remove unnecessary visuals and test filters.
- Save the latest version of the file.
These checks help prevent errors from reaching report consumers.
Step 2: Sign In to Power BI
Open Power BI Desktop and sign in using your organizational account, if required.
Your account and organization settings determine which workspaces and publishing destinations are available.
Step 3: Publish the Report
Follow these steps:
- Open the report in Power BI Desktop.
- Select Home → Publish.
- Sign in if prompted.
- Select the destination workspace.
- Wait for the upload to complete.
- Open the report in the Power BI Service.
The report should now be available in the selected workspace, subject to permissions and service configuration.
Step 4: Verify the Published Content
After publishing, open the report in the Power BI Service.
Check that:
- All report pages are present.
- Visuals display the expected values.
- Filters and interactions work correctly.
- The semantic model is available.
- Data source credentials and refresh settings are configured where necessary.
Publishing does not guarantee that every online refresh will work automatically. Some data sources require credentials, gateway configuration, or additional settings.
Updating an Existing Report
If you make changes to a report in Power BI Desktop, you can publish the updated file to the same workspace and replace the existing report content when prompted.
Before replacing content used by others, check whether the update affects shared reports, measures, or business calculations.
For team environments, use an agreed version-control and deployment process rather than relying on untracked local copies.
