Managing Power BI Workspaces
What Is a Workspace?
A workspace is a collaborative area in the Power BI Service where users organize and manage related content.
A workspace may contain reports, semantic models, dashboards, dataflows, and other supported Power BI items.
For example, an organization might create separate workspaces for:
- Sales Analytics
- Finance Reporting
- Human Resources Analytics
- Operations Monitoring
This organization helps teams manage content according to business functions and responsibilities.
Workspace Roles
Power BI workspaces provide roles that determine what users can do.
Role | Typical permissions |
| Admin | Manage the workspace, access, and settings |
| Member | Create, edit, publish, and manage content within permitted scope |
| Contributor | Create and edit supported workspace content |
| Viewer | View workspace content without the editing permissions of other roles |
The exact capabilities can depend on the item type, tenant configuration, and current Power BI permissions.
Assign users the least level of access needed for their responsibilities.
For example, a business manager who only needs to review a report may not require a workspace editing role.
Creating and Organizing a Workspace
In the Power BI Service, users with the required permissions can create a workspace.
A typical workflow is:
- Open the Power BI Service.
- Navigate to the workspaces area.
- Select the option to create a workspace.
- Enter a meaningful workspace name.
- Configure the available settings.
- Add users with appropriate roles.
- Publish or organize related content in the workspace.
Use clear naming conventions and avoid creating unnecessary workspaces for closely related content that can be managed together.
Workspace Access vs. Report Sharing
Workspace roles provide access to content within the workspace according to the assigned permissions.
Direct report sharing can provide access to a specific report without making the recipient a workspace editor. However, the recipient may also need permission to access the underlying semantic model and other required resources.
Always consider both report access and underlying data access when planning permissions.
