Essential Functions for Analysis

Lesson 3: Essential Functions for Analysis

Which functions should beginners know?

Function

What it does

Example

SUMAdds values=SUM(F2:F100)
AVERAGEArithmetic mean=AVERAGE(F2:F100)
MEDIANMiddle value=MEDIAN(F2:F100)
COUNTCounts numeric cells=COUNT(F2:F100)
COUNTACounts non-empty cells=COUNTA(A2:A100)
COUNTBLANKCounts empty cells=COUNTBLANK(C2:C100)
MIN / MAXSmallest / largest value=MAX(F2:F100)
ROUNDRounds a number=ROUND(F2, 2)
IFReturns one of two results=IF(F2>=1000,"High","Standard")
IFERRORReplaces errors with a value=IFERROR(A2/B2, 0)
TRIMRemoves extra spaces=TRIM(A2)
UPPER / LOWER / PROPERChanges text case=PROPER(A2)
TEXTFormats numbers or dates as text=TEXT(B2,"mmm-yyyy")

Example

Task

Formula

Total revenue=SUM(F2:F100)
Mean revenue=AVERAGE(F2:F100)
Classify each order=IF(F2>=1000,"High","Standard")
Three-level classification=IF(F2>=5000,"Large",IF(F2>=1000,"Medium","Small"))

In Excel 2019 and later, and in Google Sheets, IFS can replace nested IFs: =IFS(F2>=5000,"Large",F2>=1000,"Medium",TRUE,"Small")

Conditional calculations

Function

Purpose

Example

SUMIFSum with one condition=SUMIF(C:C,"South",F:F) – revenue from South
SUMIFSSum with multiple conditions=SUMIFS(F:F,C:C,"South",B:B,">=2026-07-01")
COUNTIFCount with one condition=COUNTIF(C:C,"North")
COUNTIFSCount with multiple conditions=COUNTIFS(C:C,"North",F:F,">1000")
AVERAGEIF(S)Average with conditions=AVERAGEIF(C:C,"South",F:F)

Use these for questions like "revenue by region" or "number of orders above a threshold".

How it works

  • Functions take inputs called arguments.
  • Ranges specify which cells to evaluate.
  • Criteria specify what should match. Text and comparison operators go in quotes, e.g., ">1000".
  • Some spreadsheet locales use semicolons instead of commas to separate arguments: =SUM(A1;A10).

Common mistakes

  • Averages can mislead when values are highly skewed. Check MEDIAN too.
  • Ranges that are too short silently exclude new rows (e.g., F2:F100 when data reaches row 150). Use full columns or formal tables.
  • COUNT vs COUNTA: COUNT ignores text, so it undercounts text IDs.
  • Numbers stored as text are ignored by SUM.
  • Confirm the range and the business definition before trusting a result.

Try it: Calculate total revenue, average order value, and the number of orders in a sample table. Then use COUNTIF to count orders from one region.
